How should resellers manage inventory and finances?
Asked on Reddit: “Best software for resellers managing inventory and finances?” in r/reselling
Track four things for every item: what you paid, what it sold for, the fees and the shipping. A spreadsheet is enough to start. Use accounting software once volume or tax makes it painful. A crosslisting tool covers listings, not your books.
The shortcut: Crosslisty keeps a searchable inventory of what is listed where and exports it to CSV. It is a listing tool, not accounting software, so use it with your spreadsheet.
Add to Chrome, freeUpdated October 2026. Crosslisty is a Chrome extension (it also works in Brave and Edge) that copies a listing to the other marketplaces, fills each form for you, and removes sold items from your other listings.
What to track for every item
- Stock code and a short description.
- Purchase cost and the date and source.
- Where it is listed, with the price on each marketplace.
- Sale price, fees and shipping cost once it sells.
- Profit and days to sell.
A starter spreadsheet
One row per item. Columns: stock code, item, cost, date bought, marketplaces, list price, sold price, fees, shipping, profit, date sold. Add a monthly summary tab. This is enough until you have a few hundred items.
When to move to software
- You spend more time on the spreadsheet than on selling.
- You need tax reports or mileage records.
- You sell on enough marketplaces that matching payouts is painful.
Where Crosslisty fits
- It keeps an inventory in your browser of items you imported, with where each is listed.
- You can search it and export it to CSV, then add cost and profit columns in your spreadsheet.
- It does not track cost of goods, fees or profit, and it is not accounting software.
Do not skip the tax side
Keep records of purchases, sales, fees and mileage for the tax authority in your country. Ask a qualified accountant what you must keep, because rules differ.
